Sharing Session: Administration Management & Student Enrollment

As part of the TACTIC project activities implemented, Administration management and Student Enrollment Sharing Session took place at Ho Chi Minh City University of Technology (Bach khoa) from 29 to 30 March 2017.
The two-day sharing session was developed and delivered by the two specialists from International Student Recruitment and Admission Division, Tallinn University of Technology (TUT), namely Ms. Kadri-Ann Matson and Ms. Keit Kiissel. Participating the session were officials from Hanoi University of Science and Technology (HUST) andHo Chi Minh City University of Technology (Bach khoa) (HCMUT – Bach khoa).
On the first day of the session, the participants were firstly introduced generally about Estonia and Estonian Higher Education. The participants were also introduced about TUT organization structure and the workflow among TUT’s departments. This helped enrich experiences and viewing points of officials from HUST and HCMUT – Bach khoa.
Following the introduction, happened the session of Marketing and Student recruitment. This session helped participants come up with the ideas about Marketing in Higher Education and put into some practices. The marketing in higher education may involve recruitment process, marketing plan and strategic choices, marketing channels, international student recruitment, measuring marketing activities. This also enables participants to compare and learn practices and experiences of TUT.
The effectiveness of the marketing and student recruitment would be reviewed and measured by using the admission and student enrolment result (for both local and international students). This process is supported and facilitated with the management information system in regards to application systems and databases, data management and staff responsibilities entrusted.
The second day of sharing session started with talking about services for freshmen (i.e. accommodation, academic consultation, orientation days for newly arrived students, etc.). Specifically, according to TUT specialists, taking care of student needs like accommodation is very important. The participants were introduced about how on-campus and off-campus student housing for local and international students are arranged and managed at TUT; how academic consultation during the student studies is managed at TUT. Besides accommodation and academic consultation, some services for students should also be developed, such as career, internship and psychological counseling; tutoring; etc.
Next after the student services is the sharing about student management which is based on student databases from the information system and user-based approach involving student, faculty and administrative accounts. The international exchange students are also part of this process. The participants were therefore provided with how this was processed and managed.

The TACTIC project, which is of the ERASMUS+ capacity building project, aims to increase management capacities and internationalization of the universities in Mongolia, Cambodia and Vietnam to make them competitive in the global market.
The project proposes to create tools and training for increasing professionalization of the management and to create a network for cooperation to transfer innovation and information between the partners. The exchanges of experience between the European countries and the partner countries will build an appropriate organization to promote the European higher education which will lead to international recognition of the universities, scientific excellence and have significant influence on the whole education system.
